UCO POD Storage Authorization

Arrange written authorization before delivery, confirm gate instructions, and establish a compliant loading and pickup plan.

Process checklist

What the form is for

UCO’s posted POD Storage Unit Authorization form requires advance written association-board authorization for portable storage units to enter Century Village. Its fields identify the association, association director, and date.

The form also warns that parking a container in association parking areas for more than one hour violates the county provision it cites. Treat that warning as a reason to confirm the allowed arrangement before delivery—not as permission to leave a container longer after obtaining a signature.

Clarify the timing and submission instructions

UCO’s published instructions need clarification.

The forms webpage says parking for more than one hour requires advance board authorization, while the linked PDF warns that parking beyond one hour violates the cited county provision. Board authorization should not be assumed to override county rules.

Ask UCO and the appropriate county office to confirm the permitted duration and any applicable approval process before relying on an extended stay.

A November 24, 2025 UCO operations report calls for two directors’ signatures, or one director and the association manager, plus the association seal. The linked form displays only one director field. Confirm current signature, seal, submission, and gate-processing requirements directly with UCO.

A practical authorization process

  1. Contact the association first. Provide the unit, resident contact, storage company, container size, proposed location, delivery time, and pickup time.
  2. Review the location. Check parking, emergency access, sidewalks, entrances, drainage, landscaping, and delivery equipment clearance.
  3. Confirm current rules. Clarify the allowable duration and any county requirements before the board commits.
  4. Complete the official form. Use UCO’s current download and obtain the signatures and seal UCO confirms are required.
  5. Confirm submission and gate coordination. Ask where and how to submit the form and how delivery authorization reaches the gate. Do not assume an unconfirmed email or a form handed to the driver is sufficient.
  6. Finalize the company arrangements. Confirm the authorized schedule and removal plan with the delivery provider.
  7. Keep a copy and monitor delivery. Record the authorization, instructions, actual arrival, pickup, and any problems.

Three different responsibilities

The association

Review use of its property and the resident’s request under applicable authority. Document the authorized arrangement and relevant conditions.

UCO and gate procedures

Confirm current entry requirements and how the authorization is processed. Ask for clarification before dispatching the delivery vehicle.

The delivery provider

Confirm equipment access, placement, scheduling, loading time, and pickup availability. Arrange a workable alternative if the proposed stay is not allowed.

Questions to settle before delivery

Approval and timing

  • Which current form should we use?
  • Who must sign, and is a seal required?
  • How must the form be submitted?
  • What duration is permitted at this location?
  • How will the gate verify authorization?

Placement and removal

  • Can the delivery equipment access the location safely?
  • Will exits and emergency access remain clear?
  • Who is the on-site contact?
  • When will the company remove the container?
  • What happens if pickup is delayed?

Avoid preventable problems

Do not promise overnight storage, assign common parking informally, or schedule delivery before the requirements are confirmed. Keep the loading area clear and communicate changes promptly.

If the arrangement cannot comply, discuss an alternative with the company, such as off-site storage or another moving method that meets the applicable rules. If a delivery or pickup problem occurs, contact the association, UCO, and the provider promptly rather than assuming the original authorization covers the change.

Keep the paperwork with moving records

Retain the request, authorization, current instructions, communications, and documented outcome. Incorporate the procedure into the association’s moving policy so residents know to ask before booking a container.

Board Synergy recommended practice

Confirm the arrangement in writing before dispatch

Keep one delivery record: unit, requesting owner, container provider, proposed location, authorized timing, form version, required signatures, submission confirmation, gate instructions, on-site contact, and pickup plan.

UCO procedure: its authorization form concerns advance written association authorization and entry arrangements. County requirements: permitted placement and duration require confirmation with the county. Governing documents and association policy: use of association parking or common property requires its own authority. Contractual duty: pickup and provider commitments should be clear. The tracking checklist is Board Synergy recommended practice.

Board authorization does not override county requirements. If pickup is delayed, contact the association, UCO, and provider promptly to establish a compliant response rather than assuming the original arrangement covers an extended stay.

Authority matters: Florida law establishes statutory duties; governing documents define association authority subject to law; contractual duties come from applicable agreements. UCO procedures address separate UCO functions. The added registers and workflows are Board Synergy recommended practices, not prescribed statutory forms.
