Board Synergy recommended practice
1. Describe

State what happened, where, when, and what help or clarification you need.

2. Identify

Find the responsible person or organization and the relevant document or procedure.

3. Review

Gather appropriately shareable facts; consider individual circumstances and obtain advice where needed.

4. Follow up

Confirm the next step, responsible contact, response date, and any unresolved question.

This sequence does not replace a formal notice, legal deadline, emergency response, accommodation review, or required decision process.

Explore by situation.

Owner rights, responsibilities, and fair treatment.

Understand the association’s documents, applicable requirements, and the individual circumstances before deciding how a rule or process applies.

Keep the questions distinct. A pet-policy issue, an assistance-animal request, an occupancy decision, and an enforcement complaint do not necessarily follow the same framework. Use the relevant guide and seek appropriate advice rather than assuming one rule answers every situation.

Rules, complaints, and a fair response.

Make the source of authority and the facts clear. Keep routine communication, required notices, hearing procedures, and legal remedies distinct.

These links do not authorize a fine, denial, restriction, or other action in an individual case. Confirm the required process and the association’s actual authority.

Buying, renting, guests, and occupancy.

Identify ownership, actual occupants, the association’s approval provisions, and the separate community arrangements before promising an outcome.

Start with the connected process. Application → investigation → association decision → Certificate of Approval → WPRF ID → access arrangements. UCO’s COA means Certificate of Approval; it is a different subject from a government Certificate of Occupancy.

Keep owner, resident, emergency-contact, and age-verification records distinct →

Home care, wellbeing, and sensitive situations.

Use appropriate help for the actual condition or concern. The association’s role is not identical to that of a medical provider, emergency responder, family member, or legal representative.

Contacts, representation, and getting settled.

Give new owners and residents a reliable starting point without treating every contact or credential as interchangeable.

Community-service references

These service links remain available for practical handoffs. Confirm current requirements, schedules, eligibility, and fees with the provider; general community information has its separate home at c-village.com.

Gate entry, resident identification, and recreational access are separate arrangements. Check the appropriate process rather than assuming one credential completes all three.

Community life and participation.

Find the information and opportunities that help you take part in community life, while keeping association governance and general resident services easy to distinguish.

Learn together

Build confidence in difficult decisions.

The Board Leadership Academy includes owners, fairness, conflict, and practical decision-making, with discussion and exercises.

Confirm applicable course approval and credit requirements before treating Academy participation as state-required education.

Match the action to its actual authority.

Distinguish Florida law, the association’s governing documents, UCO procedures, contractual duties, and Board Synergy recommended practices. Identify federal requirements separately where relevant, including fair-housing and age-verification questions.
