Your building’s contact belongs here too
Keep your association and property manager’s phone numbers handy, including the after-hours maintenance contact. Ask whether different numbers apply to routine requests and urgent problems.
Make your request easier to resolve
- Describe the issue. Provide your building or unit, location, dates, and the requested action.
- Gather what is needed. Ask about forms, identification, supporting documents, and appointment requirements.
- Record the contact. Keep the name, date, ticket number, and promised follow-up.
- Confirm the next step. Ask who is responsible and when you should check back.
Do not send sensitive identification or financial information to an unverified contact. Use the organization’s official instructions and channels.
Clear requests help people provide better service.
For boards and welcome packets
Give new residents a simple guide showing association, UCO, and WPRF contacts. Add your own building-specific details, explain any approval sequence, and date the guide. Link to current official instructions rather than copying schedules that may become outdated.
A property manager can help maintain the building’s service contacts and direct requests within the management contract. Keep one clear route for reporting maintenance so requests do not disappear between individual directors and the office.

Board Synergy recommended practice
Ask for a clear referral rather than assuming the next organization controls the service. A directory identifies a starting point, not legal or financial responsibility.
- Bring a concise request: Give the building, unit or service location, dates, observed problem, prior ticket number, and the action you seek. Send supporting records through a verified channel.
- Confirm the handoff: Ask who receives the request, whether you need to contact that office yourself, and when to check back. Record the answer and preserve correspondence.
- Choose a different route when needed: Use the owner problem-solving guide for unresolved association concerns, official fraud-reporting routes for suspected scams, and appropriate public agencies for matters within their authority.
- Protect sensitive information: Do not include passwords, gate codes, medical histories, or bank details in community messages. A service desk should receive only what it needs through its official process.

The checklists above are recommended practices. Florida law, governing-document requirements, UCO procedures, and contractual duties have different sources of authority. Confirm the requirements that apply to your association.
