A gate pass is for community entry
Century Village’s published welcome information directs residents to UCO for gate passes when visitors do not need recreational access. A gate pass permits the named visitor to enter the community under the applicable access conditions; it does not establish a right to live in a unit.
The right pass. Clear expectations.
Which access arrangement are you asking about?
| Item | Purpose / contact |
|---|---|
| Gate pass | Community entry for the named person; ask UCO. |
| Recreational guest ID or pass | Guest facility privileges under WPRF rules; ask the Clubhouse ID Office. |
| Resident ID | Resident identification and applicable facility privileges; WPRF service. |
| Vehicle barcode | Vehicle access credential; UCO service with its own eligibility and documentation. |
| Online guest authorization | Expected-visitor entry through the approved guest-list system; confirm current setup and rules. |
Gate Access & Online Guest Authorization
These arrangements should not be treated as interchangeable. Ask which one fits the visit, how long it is valid, and what identification the visitor must present.
How to arrange a gate pass
Use this preparation checklist, then follow UCO’s current instructions:
- Contact UCO before the visit. Confirm eligibility, pass duration, fees, office hours, and whether the visitor must attend.
- Identify the host and visitor. Have your resident information and the visitor’s full name available. Ask whether a photograph, address, identification, or other documentation is required.
- Explain the intended dates. Ask about short visits, repeated visits, renewal, or changes rather than assuming the same pass works for every situation.
- Complete the current procedure. Follow the office’s application and payment requirements; check names and dates before leaving.
- Prepare the visitor. Explain what to bring to the gate and provide the subdivision, building, unit, and host’s contact information.
Older newspaper notices contain historical fees and schedules. This page does not repeat those as current rates; confirm the present requirements directly with UCO.
Board Synergy · Practical help
Having trouble with a gate pass?
If your pass or access credential is not working, a few details can help staff identify the problem and direct you to the right office.
- Identify what is not working. Is it a visitor pass, vehicle barcode, resident ID, or another credential? Note which gate you used, when the problem occurred, and any message or instruction you received.
- Stop by WPRF for troubleshooting. Bring the pass or credential involved and your resident ID, if available. Explain what happened and ask staff to help check the issue or identify the office that needs to resolve it.
- Follow up with UCO when needed. For a gate-pass or vehicle-access issue that WPRF cannot resolve, ask which UCO contact handles that particular problem. Explain any troubleshooting already completed.
Be specific about the credential. Recreation access and vehicle gate access can involve different systems. Staff may be able to troubleshoot an issue even when another office must make the correction.
If you are at the gate, follow the attendant’s instructions and use the designated visitor or assistance procedure. Avoid blocking a lane while trying to resolve an account issue.
Find the right starting point →Independent Board Synergy guidance. Confirm current procedures with WPRF or UCO. Do not post pass codes, barcode images, or personal identification in public messages.
Common questions
Can a gate pass replace rental or occupancy approval?
No. Follow the association’s purchase, rental, and occupancy procedures. Entry authorization does not complete screening or authorize residency.
Can my guest use my resident ID?
Use the proper guest arrangement instead. The published welcome packet says resident IDs are personal and directs residents to the ID Office for recreational guest cards.
Is an online guest-list entry the same as a gate pass?
Do not assume so. Ask UCO which access method is appropriate for your visitor and whether additional steps are needed.
What if a pass expires, is lost, or has incorrect information?
Contact the issuing office for correction, replacement, or renewal instructions before the next visit.
Can a caregiver or contractor use a gate pass?
Ask UCO about the category and requirements for the particular visit. Recurring care, service work, and social visits may need different arrangements.
Ask early. Avoid arrival-day confusion.
How association boards can help
Suggested practices: include official contact information in welcome packets, explain the distinction between entry and occupancy, and help residents identify the proper office. Provide a printed version for residents who do not use the internet.
Encourage visitors to follow gate staff directions and keep credentials private. Refer disputed entry or proposed access restrictions to authorized administrators and counsel instead of improvising a solution.
For an emergency, call 911 and give the exact location. Do not delay emergency assistance while arranging a routine visitor pass.
