UCO Welcome Packet — 2024
A 13-page introduction to United Civic Organization and community services. Its opening sections explain UCO’s role, office contacts, transportation, access services, community information, and participation.
UCO Welcome PacketWPRF Welcome Packet — revised 2023
A 23-page clubhouse information packet. Its introduction highlights classes, activities, theater events, clubhouse rules, staff contacts, and season ticket information.
WPRF Welcome packetWhy are there two packets?
They introduce different parts of life in Century Village West Palm Beach. Reading both helps you understand where to take a question.
| Resource | Best starting point for | What to confirm today |
|---|---|---|
| UCO packet | Community services, UCO contacts, access information, transportation, community updates, and participation | Current forms, service-desk hours, requirements, and community arrangements |
| WPRF packet | Clubhouse orientation, recreation, classes, entertainment, and facility rules | ID requirements, program availability, tickets, guest access, and office contacts |
| Your association’s information | Your building’s rules, parking, maintenance, assessments, approvals, and emergency contacts | Your association’s current documents and management procedures |
Example: An occupancy question begins with your association’s approval process. Resident ID questions go to WPRF, while vehicle barcode questions go to UCO. The welcome packets help explain those services, but the processes remain separate.
A practical new resident checklist
- Read both packets. Mark the sections relevant to your household and make a short list of questions.
- Get your association contacts. Save the board, property manager, and after-hours maintenance information.
- Confirm occupancy paperwork. Ask your association whether required approvals and submissions are complete.
- Arrange your resident ID. Contact WPRF for current document requirements and ID office hours.
- Check vehicle access. Review UCO’s barcode instructions and the correct guest-access procedure.
- Explore recreation. Check current class, fitness, pool, and entertainment information.
- Plan everyday services. Learn your transportation options, parking rules, trash arrangements, and maintenance reporting process.
- Stay informed. Read current UCO announcements and ask how your association distributes notices.
For an emergency, call 911. Do not substitute an older packet’s security contact for emergency dispatch.
Knowing where to ask makes settling in easier.
Use current sources alongside the packets
UCO’s website says printed welcome packets are available at its office and encourages associations to give them to new residents. Ask whether a newer edition is available. WPRF can confirm its current clubhouse information.

For theater season tickets, use the current season’s instructions. A cutoff or procedure printed in the 2023 packet should not be assumed to apply to a later season.
Build a complete association welcome package
Give residents both community packets and a short building-specific guide. Include parking and laundry rules, maintenance contacts, move-in procedures, assessment payment instructions, emergency reporting, and where to find governing documents.
Ask the property manager to help coordinate the materials where this falls within the management contract. Date the association guide, review it periodically, and use links to official service information that may change.
Provide a printed copy or help downloading the materials when a resident needs it. A short conversation can clarify which organization handles the next step.

Maintain a small association supplement alongside both packets
Board Synergy recommended practice
The supplied UCO 2024 and WPRF 2023 editions remain useful background. Date your association supplement separately and confirm changing procedures with the responsible office.
- Name a maintainer and alternate: Assign preparation and review to a designated director or manager within the management contract. Recheck after elections, management changes, service changes, and before distributing a new copy.
- Include building essentials: Provide routine and after-hours contacts, assessment-payment instructions through a verified channel, maintenance reporting, parking, laundry, trash, move-in arrangements, and access to current governing documents.
- Explain the paperwork sequence: Link the occupancy process and distinguish the association’s decision, Certificate of Approval, WPRF ID, and vehicle-access arrangements. Do not imply that reading or receiving a packet completes an approval.
- Offer accessible delivery: Provide a paper copy or help locating the files when needed. Keep private resident information and credentials out of the general packet; distribute individual information securely.
- Keep a version record: Record the supplement’s date, sources checked, reviewer, and changes. Replace outdated distribution copies while retaining required association records. Receipt of a welcome packet is not consent to an amendment or a waiver of rights.

The checklists above are recommended practices. Florida law, governing-document requirements, UCO procedures, and contractual duties have different sources of authority. Confirm the requirements that apply to your association.
